Refund & Cancellation Policy

This policy sets out when and how Coddexa Media Ltd (“Coddexa”, “we”, “us”) will issue refunds or process cancellations. It should be read alongside our Terms & Conditions. By placing an order you agree to both documents.

1. Setup fees (monthly-first plans)

A non-refundable setup fee is payable before work begins on monthly-first packages (Launch, Business, Conversion).

  • Before build starts: If you cancel in writing before we have commenced any design or development work, we will refund the setup fee in full within 14 days.
  • After build has started: Once scoping, design, or development work has begun, the setup fee is non-refundable. Work is deemed to have started when we send you the first design draft, wireframe, or any deliverable related to your project.

If you are unsure whether work has started, contact us at hello@coddexa.media and we will confirm the status before you cancel.

2. Monthly subscription (AI Care Plan)

Monthly plans run for a minimum term of 12 months from the site go-live date.

  • Within the 12-month minimum term: You may cancel at any time by giving 30 days' written notice; however, the remaining monthly fees for the unexpired minimum term remain payable. We do not pro-rate or waive early-termination fees within the minimum term.
  • After the 12-month minimum term: The plan continues on a rolling monthly basis. Cancel at any time with 30 days' written notice. You will be charged only for the notice period; no further fees apply after the notice period ends.
  • Monthly fees already paid: Monthly subscription payments are not refundable once the billing period has started.

3. One-time payment projects

One-time payment projects are split into two instalments: 50% deposit before work begins and 50% on completion before handover.

  • Deposit (50%): Refundable in full if cancelled in writing before any design or development work has commenced. Once work has started, the deposit is non-refundable.
  • Final payment (50%): Due before the completed site is handed over or deployed. No refund is available after handover and deployment of the completed build.
  • Delivered builds: Once a completed website has been handed over (source files delivered or site deployed to your domain), no refund is available on the project fee.

4. Pass-through costs

Domain registration, hosting upgrades, Stripe transaction fees, Cal.com Pro subscriptions, API costs, and other third-party pass-through costs are not refundable once incurred on your behalf. These costs are agreed with you in advance before any expenditure is made.

5. AI Content Pack (add-on)

The AI Content Pack is a one-time deliverable. Once content creation (social posts, video, graphics) has commenced, the fee is non-refundable. If you cancel before any assets have been produced, we will refund the fee in full.

6. How to cancel or request a refund

All cancellations and refund requests must be submitted in writing by email to hello@coddexa.media with the subject line “Cancellation Request” or “Refund Request”. Please include:

  • Your full name and company name.
  • The package or service you wish to cancel.
  • The reason for cancellation (optional, but helps us improve).

We will acknowledge your request within 2 business days and confirm the outcome within 5 business days. Approved refunds are processed within 14 days to the original payment method.

7. Pro-rata adjustments

We do not offer pro-rata refunds on monthly subscription fees for partial months. If your site goes live part-way through a calendar month, your first monthly billing period begins on the go-live date and covers a full month from that date.

For one-time projects, if Coddexa is unable to complete the agreed scope due to circumstances within our control, we will refund a fair and proportionate amount of the fee paid for the uncompleted work, as agreed in writing between both parties.

8. Your statutory rights

Nothing in this policy affects your statutory rights under UK consumer protection law. If you are a consumer (not purchasing as a business), you may have additional rights under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. Please note that the right to cancel under those Regulations does not apply once we have begun providing a bespoke digital service at your request.
